International Conservation Services (ICS) is Australia’s largest private fine art and heritage conservation practice. ICS team comprises some of the most eminent fine arts conservators and heritage experts in the world. Since It’s inception in 1986, ICS has conserved over 100,000 items for every national collecting institution and almost every state collecting institution, a host of regional and local galleries and museums, every major university, as well as government bodies, corporations and private individuals. ICS employs approximately 30 people including conservators, administrative and management staff.

The Problem

ICS conservators spent most of their time working onsite at projects and customer sites whilst having to maintainin a vary tight and complex schedule.

They were running a local version of company internal site, sharepoint based on a Microsoft SBS 2011 server and also local email server, Microsoft Exchange. They had a couple of calendars to track conservators’ schedules and separate calendars to access shared resources. Access to those calendars was only possible when working from the office or by very complex remote access.

They wanted to be able to easily access calendars and book resources via email from anywhere in the world.

The Challenge

A precise and detail schedule for the email migration and timing of the new company site coming live was crucial to no lose any current information. Some of the calendars for staff and resources were planned and tested in detail to ensure seamless functionality.

The migration was also an opportunity to restructure some of the procedures and change of resource bookings, which were integrated to the email solution instead of the company portal. This allows easier integration of email and calendar into Outlook and mobile access.

The Solution

Friendlyware transferred ICS’s sharepoint and exchange servers to the cloud due to it being the best option for online access to resources and allowed them to have their cloud services integrated on the Microsoft platform.

  • ICS SBS 2011 Server was updated and synchronised with the Office 365 Active Directory servers.

  • Emails were seamlessly migrated to Exchange Online, this was done in the background without interruption to users.

  • A new company site was configured in sharepoint online allowing easier collaboration and organisation of documents.

Most of the list and tables were migrated and those which were no longer required were retired.

After migration, all members of staff have access to Shared calendars and can book resources from their email solutions via Microsoft Outlook on any device around the world allowing for complete flexibility.
